- Responsibilities of PA :
- devising/maintaining office systems, including data management and filing
- arranging travel, visas and accommodation, and occasionally travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
- screening phone calls, enquiries and requests, and handling them when appropriate
- meeting and greeting visitors at all levels of seniority
- organizing and maintaining diaries and making appointments
- dealing with incoming email, faxes and post, often corresponding on behalf of the manager
- organizing and attending meetings and ensuring the manager is well prepared for meetings
- liaising with clients, suppliers and other staff.
- typing, compiling and preparing reports, presentations and correspondence
- implementing and maintaining procedures/administrative systems
- liaising with staff, suppliers and clients
- collating and filing expenses
- Responsibilities of Admin:
- Initiate new projects and manage projects from the development/initialization stage until the final stage
- Participate in a company program to achieve the company’s strategic goals
- Process the order and print delivery order
- Contact customer to verify address and company name; handle customer if there is any issue arise
- Attend to incoming and outgoing emails and shipment orders
- Maintains solid customer relationships by handling questions and concerns with speed and professionalism
- Work closely with local forwarders for scheduling and booking for shipments to ensure smooth and timely delivery
- Check the e-mail and response to it.
- Prepared daily, monthly and annual reports using Microsoft excel
- Update billing and send to the respective person
- Do closing for shipments daily
- Check delivery orders copies and chase transporter for the delivery copies
- Scan and upload delivery order copies
- Arrange delivery or collection of phones to customer liaise with the courier agent
- Issuing consignment note and pass to the logistic department for further actions
- operate manual and computerized office systems, for example, filing papers and maintaining databases
- Maintain financial files and records
